Engagement Letter
Thank you for engaging us as your accountants and tax practitioners. Aiden Corcoran will be your main point of contact and will have primary responsibility for this assignment. This letter and the attached schedules of services together with our standard terms and conditions set out the basis on which we will act.
Who we are acting for
We are acting for ‘you’ only. Where you would like us to act for anyone else such as your spouse, a partner, a director, a partnership or a limited company we will issue a separate engagement letter to them.
We work with third parties through collaborations such as training providers that you may have been introduced to us by. Please see our terms and conditions regarding our responsibilities with our collaborations.
HMRC will send you an agent authorisation code which expires within 30 days of issue. Please send this to us as soon as you receive it. This authorises HMRC to communicate with us as your agent, although they consider that you should still take ‘reasonable care’ over your tax affairs.
Period of engagement
This engagement will start on 20/01/2025. The first period for which we will be responsible is the first tax year we prepare and file on your behalf. We will not deal with earlier years unless you specifically ask us to do so and we agree.
Scope of services
We have listed below the work that you have instructed us to carry out:
- Preparation and submission of your personal tax return
- Bookkeeping as per the schedule of services agreed
Details regarding the scope of work to be completed are contained in the attached schedules. These state your and our responsibilities in relation to the work to be carried out. If we agree to carry out additional services for you, we will provide you with a new or amended engagement letter. Only the services that are listed in the attached schedules are included within the scope of our instructions. If there is additional work that you wish us to carry out which is not listed in the schedule(s), please let us know and we will discuss with you whether they can be included in the scope of our work.
Fees
Our fees will be charged in accordance with our attached standard terms and conditions. Please review these to ensure you understand the basis of our charges and our payment terms.
By way of summary, we estimate that our fees for our services will be as follows:
Preparation and submission of your personal tax return including
bookkeeping as per the schedule of services option agreed:
Total: £222
Our fees are paid by a monthly direct debit of £18.50.
As we provide an on-going service to you through our bespoke landing page with our collaboration agreement with your training provider, the monthly payment is compensation for our ongoing service to you including the wide range of information you have access to that directly relates to your industry. Therefore, should you wish to disengage with our services, there would be no refund due to you.
Fees in Year 1
Furthermore, in year one, there may be a one-off balancing payment to make when the work is completed if there have not been 12 monthly payments that covers the total annual fee. The monthly direct debit means from year 2 onwards our fees are covered without any additional charges. Only if the scope and range of services changes would our fees change.
Limitation of liability
We specifically draw your attention to paragraph 18 of our standard terms and conditions that sets out the basis on which we limit our liability to you and to others. You should read this in conjunction with paragraph 19 of our standard terms and conditions that excludes liability to Third Parties.
There are no Third Parties that we have agreed should be entitled to rely on the work done pursuant to this engagement letter.
Limitation of aggregate liability
We limit our public liability to £1,000,000.
Requirements of the Data Protection Act (DPA) 2018 and the General Data Protection Regulation (GDPR)
The DPA 2018 and GDPR set out a number of requirements in relation to the processing of personal data.
Here at Everyday Accountants, we take your privacy and the privacy of the information we process seriously. We will only use your personal information and the personal information you give us access to under this contract to administer your account and to provide the services you have requested from us.
We attach our privacy notice setting out our approach to handling your information. In signing one copy of this letter you will be indicating that you have read and agreed the terms under which we operate as set
out in this notice. In addition, please note that we require your agreement on several specific points, which are also included in the acceptance section below:
(a) Continuity arrangements
Please note that we have arrangements in place for an alternate to deal with matters in the event of permanent incapacity or illness. This provides protection to you in the event that I cannot act on your behalf, and in signing this letter you agree to the alternate having access to all of the information I hold in order to make initial contact with you and agree the work to be undertaken during my incapacity. You can choose to appoint another agent at that stage if you wish.
(b) Secure communications and transfer of data
We will communicate or transfer data using the following:
- Post/hard-copy documents
- Password-protected emails
- Emails *
*if you require us to correspond with you by email that is not encrypted or password protected, you also accept the risks associated with this form of communication.
